At StepIn, your privacy matters. This statement explains how we handle information when you use our Telegram bot ("StepIn Bot") or visit our website. We operate in full compliance with the General Data Protection Regulation (GDPR).

1. What data we collect

Telegram bot: When you use StepIn, we store only the data necessary to provide the service:

  • Your Telegram chat ID (so we know where to send news).
  • Your language preferences (e.g., Ukrainian, Arabic, simplified Dutch B1).
  • Your daily news settings (how many articles, what time).
  • Anonymised usage patterns (e.g., which commands are used) to improve the bot.

We do not collect your name, phone number, or any message content beyond what you explicitly send as commands or feedback.

Website contact form: If you reach out via our “For Organisations” form, we collect your name, email address, organisation, and the message you send. We use this only to respond to your inquiry.

2. How we use your data

We use the data to:

  • Deliver daily news digests in your chosen language and level.
  • Remember your preferences so you don't have to set them every time.
  • Improve StepIn (e.g., adding popular languages or fixing bugs).
  • Respond to partnership or support requests from the website.

We never sell or rent your personal data to anyone. No third‑party advertising is served inside StepIn.

3. Legal basis for processing (GDPR)

We process your data based on:

  • Performance of a service: to send you the news digests you asked for.
  • Legitimate interest: to keep the bot secure, analyse usage, and improve features.
  • Consent: when you explicitly contact us via the website form.

4. Data sharing and third parties

We do not share your personal data with third parties except:

  • Hosting & infrastructure: Our bot runs on Railway and uses Formspree for contact form submissions. Both are GDPR‑compliant processors.
  • Legal obligations: If required by law or to protect the rights and safety of StepIn, our users, or the public.

5. Data retention

We keep your preferences and chat ID for as long as you actively use StepIn. If you stop interacting with the bot for 12 consecutive months, we may anonymise or delete your data. Contact form inquiries are kept for 12 months, after which they are deleted unless we enter a formal partnership.

6. Your rights

Under GDPR, you have the right to:

  • Access your data – ask us what information we hold about you.
  • Rectify inaccurate data – update your preferences via the bot’s /language or /settings commands.
  • Erase your data – stop using the bot and request deletion of your chat ID and settings.
  • Restrict or object to processing – for example, if you no longer want the daily news.
  • Portability – receive a copy of your data in a machine‑readable format.

7. Data security

We take appropriate technical and organisational measures to protect your data against loss, misuse, or unauthorised access. However, no internet transmission is 100% secure – use the bot at your own discretion.

8. Children’s privacy

StepIn is not directed at children under 16. We do not knowingly collect data from minors. If you believe a child has used the bot, please contact us so we can delete the information.

9. Changes to this Privacy Statement

We may update this statement from time to time. The latest version will always be available on this page. If we make significant changes, we will announce them via the bot or website.
